Function Catering requirements

Venue availability
Please ensure that you have booked your venue via the JCU booking portal. Chartwells will only deliver to the specific venue booked, provided the venue is accessible and suitable for food service

Specific dietary requirements
We have menu choices that are vegetarian, lactose or gluten free. We can tailor-make a menu to suit most requirements. Please discuss your individual needs with the catering manager to ensure all guest needs are catered for.

Ordering times
We require functions under 50 to be booked & confirmed three (3) business days in advance of your function date so we can ensure your catering needs are delivered as per your request. Over 50 guests five ( 5 ) business days advance notice is required.

How to order
We have developed this web-based online order system specifically for James Cook University. Once the catering form has been submitted you will receive a confirmation by e-mail, outlining your selection and function costing.

Just follow these easy steps:
  1. Enter your details on the form
  2. Create your menu selection and specify any special requests
  3. Preview, then send your request

Alcohol
Please discuss beverage requirements with the Catering Manager to determine the cost and the service style of all alcoholic beverages. A function-specific quote will be forwarded for approval prior to the event. Please note, strict licensing regulations apply to service of alcoholic beverages.

Equipment Hire
Our Catering Manager will provide a quote for any additional hire costs required for your function. This will be forwarded for approval prior to the event. Any damages or loss will be at the cost of the hirer.

Labour Charges
Our business hours are 7am to 5pm, Monday to Friday, throughout the academic year. Any event held outside this time frame will incur additional labour charges. If wait staff are required for functions, we will provide an additional quote for labour charges. There is a minimum 3 hour charge for wait staff and 4 hour charge per chef. Functions other than drop offs will usually incur labour charges.

Cancellations
Cancellations must be received by email to the Catering Manager, quoting your order ID number and the date of the function. Please be aware that a fee may be charged if the required notice is not given. Cancellations for weekend functions must be received by email by 3pm Thursday; for Monday functions by 9.00am Friday morning. Otherwise 24 hours before the day of the function for conference groups and 72 hours before the day of the function for large formal events is required.

Dietary requirements, confirmation of numbers & room set up must be confirmed 48 hours prior to event.
